1. General information (applies to all participants)
1.1 Scope of this notice
This notice applies to personal data processed in connection with registration, participation, and promotion of Terra Italia, including data collected through this website, the registration form, and during the event itself.
1.2 Website data (cookies and analytics)
Use of cookies and similar technologies on this website is described separately in our Cookie Policy.
1.3 Event photography and video
During Terra Italia, general event photography and video may be captured for documentation and promotional purposes, including publication on social media, the website, and press materials. Where you have been asked to provide separate consent for this at registration, that consent governs the use of images in which you are individually identifiable. General event and venue footage may be published on the basis of the organizers' legitimate interest in documenting and promoting the event. If you prefer not to appear in photography or video, please inform our team on arrival.
1.4 Your rights
Regardless of which organizer is the controller of your data (see Sections 2 and 3 below), you have the right to request access to, correction of, or deletion of your personal data, to object to or restrict certain processing, and to withdraw consent at any time where processing is based on consent. You also have the right to lodge a complaint with the competent Data Protection Authority.
1.5 Relationship between the organizers
LTP.Travel (BTS Group S.p.A. SB) and Travel Media Middle East FZCO cooperate in organizing Terra Italia. The appointment scheduling platform used to arrange meetings between Exhibitors and Hosted Buyers is operated jointly by both organizers, who jointly determine how participant data is used for this purpose. For other purposes specific to each category of participant — such as accreditation, invoicing, and communications — each organizer processes the data of the participants it registers. Participant information is shared between the organizers as necessary to manage registration, meeting scheduling, accommodation, and event logistics (see Sections 2.4 and 3.4).
1.6 Data retention
Personal data is retained for the duration necessary to organize the relevant edition of Terra Italia and for a reasonable period thereafter for administrative, accounting, and legitimate promotional purposes, unless a longer retention period is required by law.
2. For Exhibitors
2.1 Data controller
For Exhibitors, the data controller is LTP.Travel, a brand of BTS Group S.p.A. SB (VAT IT06738150488), Florence, Italy.
2.2 What data we collect
Company and representative details provided at registration, including name, role, contact details, and any information required for accreditation and participation in the Participation Agreement.
2.3 Purpose and legal basis
Your data is processed to manage your registration, organize your participation (including meeting scheduling and accreditation), and fulfil the Participation Agreement. Where you have given separate consent — for example, for photography or marketing communications — that processing is based on your consent.
2.4 Who receives your data
Your contact details are shared with Hosted Buyers with whom you hold scheduled meetings during the event, with venue partners for accreditation purposes, and with Travel Media Middle East FZCO (United Arab Emirates) for the purposes of coordinating the appointment scheduling system and related event logistics. As the United Arab Emirates has not been recognised by the European Commission as providing an adequate level of data protection, this transfer is carried out only on the basis of your explicit consent, given at registration. Your data is not disclosed to other third parties without your consent, except as required by law.

3. For Hosted Buyers
3.1 Data controller
For Hosted Buyers, the data controller is Travel Media Middle East FZCO, Dubai Silicon Oasis, Building A2, Dubai, United Arab Emirates. Travel Media Middle East FZCO is located outside the European Economic Area, and the United Arab Emirates has not been recognised by the European Commission as providing an adequate level of data protection. Where your data is transferred to Travel Media Middle East FZCO, this is done only on the basis of your explicit consent, given at registration.
3.2 What data we collect
Personal and professional details provided at registration, including name, company, role, and contact details, as well as information related to your invitation, accommodation, and travel arrangements for the event.
3.3 Purpose and legal basis
Your data is processed to manage your invitation and registration, organize your participation (including meeting scheduling, accreditation, accommodation, and travel arrangements), and for event-related communications. Where you have given separate consent — for example, for photography or future marketing communications — that processing is based on your consent.
3.4 Who receives your data
Your contact details are shared with LTP.Travel (BTS Group S.p.A. SB) as co-organizer of the event, for the purposes of accreditation, meeting scheduling, accommodation, transfers, and pre- and post-event FAM trips.
